1. Who we are

Meerkat Hosting is the data controller for personal data collected through this website and our services. Meerkat Hosting is a trading name of Meerkat Digital Services Limited, a company registered in England and Wales. You can contact us about privacy matters at sales@meerkat-hosting.co.uk.

2. What data we collect

  • Free website offer: when you use our free website wizard, we collect your business name, location/town, phone number, industry, the services you offer, your chosen brand colour, a short description of your business, your uploaded logo (if provided), and your chosen domain name and billing preference.
  • Quote requests: when you request a quote for bespoke web design or a portal project, we collect your name, email address, phone number (if provided), project type, rough budget, timeline and project details.
  • Contact form: name, email address and the content of your message, when you contact us.
  • Hosting, domain and billing customers: name, contact details, billing details and service information, collected and processed through WHMCS and our infrastructure provider, 20i.
  • Bespoke web design and portal clients: business and contact details, and any content, images or account access you provide for a project.
  • Live chat: if you use the chat widget on our site, your messages, browser/device information and general location (from IP address) are processed by our live chat provider, Tawk.to, so we can respond to you. See section 4 for more on this.
  • Technical data: standard web server logs (such as IP address and browser type) may be recorded automatically for security and troubleshooting.

3. Cookies

This site uses a small number of functional cookies needed to make certain features work:

  • Live chat (Tawk.to): sets cookies to remember your chat session and connect you with the right conversation if you message us.
  • Google Fonts: our page text uses fonts served from Google's servers, which may receive your IP address when a page loads, in order to deliver the font files.

We don't currently use marketing or analytics cookies (such as advertising trackers) on this website. If that changes, this section will be updated accordingly.

4. How we use your data

  • To provide, bill for and support the services you order (contract).
  • To build and follow up on a free website, or respond to a quote request or contact form enquiry (legitimate interest / pre-contract steps).
  • To respond to messages sent through our live chat widget (legitimate interest / pre-contract steps).
  • To meet legal and accounting obligations, such as keeping invoice records (legal obligation).
  • To send service-related communications, such as renewal reminders (contract).

We don't send marketing emails unless you've clearly opted in, and you can opt out at any time.

5. Who we share data with

Hosting, domains and billing are processed via WHMCS, operated on 20i's infrastructure, who act as our data processor for these services. Live chat messages are processed by Tawk.to, who act as our data processor for that feature. We don't sell your personal data. We may share data with other third parties only where required by law, or with providers who help us run our business (for example, payment processing) under appropriate agreements.

6. How long we keep data

We keep personal data for as long as needed to provide services, plus any additional period required for accounting, tax or legal purposes. Free website submissions, quote requests and contact form enquiries that don't lead to a service are kept only as long as reasonably needed to follow up, after which they're deleted or anonymised.

7. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data, where applicable
  • Restrict or object to certain processing
  • Request a copy of your data in a portable format
  • Complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled

8. Security

We take reasonable technical and organisational measures to protect personal data, and rely on 20i's infrastructure security for hosted services and our providers' security for services like live chat. No method of transmission or storage is 100% secure, but we work to keep risk as low as reasonably possible.

9. Changes to this policy

We may update this policy from time to time, including to reflect new or changed services or tools. The current version will always be published on this page.
